Enrolling a child in approved After School Care (ASC) in NSW takes between 1 and 4 weeks depending on whether you’ve already applied for Child Care Subsidy. The process has five steps: apply for CCS, choose a provider, complete the provider’s enrolment form, register your child’s CRN/Customer ID with the provider, and start. Before you start: what you’ll need

Have these ready before you begin:

Critical: apply BEFORE your child starts at OOSH. CCS is paid from the date your claim is approved, so any sessions used before approval are at full fee.

If your claim is approved, you’ll receive a confirmation showing your CCS percentage (e.g. 65%). The provider applies this automatically to each booking.

Step 2 — Research and choose a provider

Timeline: 1-2 weeks (can overlap with Step 1)

  4. Daily program quality

  • Is there a current waitlist?

Step 3 — Complete the provider’s enrolment form

Timeline: 1-3 days

Each provider has its own enrolment form (paper or online). At WAYS OOSH the form covers:

  • Family details (parents/carers, emergency contacts)
  • Child details (name, DOB, school, year level)
  • Medical information (allergies, medications, conditions)
  • Dietary requirements
  • Pickup authorisations (who can collect your child)
  • Photo and excursion consent
  • CRN details for CCS

Have your child’s CRN and your CRN ready — without these, CCS can’t be applied to bookings.

Most providers ask for an enrolment fee or bond at this stage. WAYS does not charge a bond.

Step 4 — Register with the provider’s booking system

Timeline: 1-2 days after enrolment form

Once enrolment is processed, the provider sets up your account in their booking system. Common platforms in Sydney include:

  • OWNA (used by WAYS OOSH and many Eastern Suburbs providers)

  • HubHello
  • Xplor

You’ll receive an account invitation by email, set a password, and can then book sessions (casual day-by-day, term block, etc) through the app or web portal.

The booking system also handles statements, CCS reconciliation, and incident reports.

Step 5 — Start

Timeline: same day as first booked session

On your child’s first day:

  • Pack lunch (most ASC providers offer afternoon tea but not lunch)
  • Pack a change of clothes (kids spill things)
  • Hat and sunscreen (outdoor time most days)
  • Any medications with written authority

For the first 1-2 weeks, expect your child to be tired at the end of the day. ASC adds 3 hours of structured social environment on top of a school day — most children adjust within 2 weeks.

What if I’m starting mid-term?
